“Is Friday at three free?”: answering students while you teach

My students message me during lessons. I cannot answer, they wait, and half the bookings never happen. How do other coaches handle this?

A coach on court cannot answer a phone, and a student who waits three hours has often made other plans. The coaches who solved this did not answer faster; they stopped being the one who answers. The pattern: 1. Write your rules down once: your hours per weekday, your lesson length, your cancellation cutoff, how many free late passes a package gets, whether new students book alone or ask first. Rules that exist can be applied by something other than you. 2. Let students answer their own questions. "Is Friday at three free?" is a look at your calendar. "How many lessons do I have left?" is a number under their last booking. "Can we move Tuesday?" is a cancellation plus a booking, inside your cutoff. None of these needs you if the calendar and the package are visible to the student. 3. Receive decisions, not messages. A new student wants in: yes or no. Someone wants a time outside your hours: yes or no. That is two taps a day, between lessons. 4. Let cancellations resolve themselves. When a slot frees up, the students waiting for that week are offered it in order, each with thirty minutes to take it. When you cancel, the student sees three alternatives, not an apology. 5. Share the book with one more person. A spouse or a manager can book and cancel; students still see one name and one place. The measure that tells you it works: the share of lessons booked without a single message from you. Coaches who ran their week this way report four in five.
